How to request deletion, what is erased, what is kept and why, and how long it takes.

Working version. This text faithfully describes what Poudra does today, but it has not yet been reviewed by a lawyer, and the rules differ from province to province. Write to us if a sentence looks wrong or incomplete: that is how it gets fixed.

01How to request deletion

Write to support@poudra.ca from the account owner’s address, or open a ticket from “Help” in the office. State the company name and that you are requesting deletion. We confirm by email, we check with you what is going to go, then we carry it out. There is NO “delete my account” button in the product, and we will not pretend otherwise: deleting a company touches accounting records kept for six years and proof kept for seven, and it is an operation only the publisher performs, with the reason written to its log.

02How long it takes

If you cancel your subscription, two deadlines run. At 30 days, your open sessions and registered phones are erased — your credentials are not: signing in is how you come back to pay or to export. At 12 months, the main erasure happens, the one described below. You get a notice 30 days before that deadline and another 7 days before, and you can change your mind right up to the end. Twelve months, because the trade is seasonal: someone who cancels in April calls back in October. If you request deletion by email without waiting, we handle it within 30 days. 03What is erased

The ways in: sessions and tokens, registered phones, the two-factor secret and its backup codes, the email address and password of every account in the company. Contact details: phone numbers and emails of your contacts and of any occupants you recorded. The recipient on every line of the sending log. The link with the service that collects your customers’ payments. And the internet address of the people who signed your contracts and accepted quotes. Two things now stay that we used to erase, and erasing them was our mistake: the DATE of each consent, and the log lines without their recipient. Those are your two pieces of defence if an anti-spam complaint arrives — and it can arrive up to three years later. Without a contact detail, neither authorizes any sending at all.

04What is KEPT, and why

Invoices, credit notes and payments for six years: these are accounting records, and neither you nor we have the right to make them disappear. Visits and their photos for seven years: this is the proof that a property was cleared, and it protects the contractor first, on the day a customer disputes. And the names that appear on those documents — the customer’s on their invoices, the operator’s on the proof files they produced: an invoice with no name proves nothing any more. What remains no longer allows anyone into the account, or to write to anyone.

05Take your data with you before you go

Before requesting deletion, use the export button: it produces an archive of files any spreadsheet can read — customers, contacts, properties, occupants, contracts, invoices and their lines, payments, credit notes, visits, de-icer entries. Amounts come out in whole cents, exactly as they are stored, and times in universal time, with no possible ambiguity. The export works even if your access is closed for non-payment: that is precisely when you may need it.

06If you are an operator or a dispatcher

Your account is not legally yours: it belongs to the company that employs you, and that company deactivates it when you leave. Contact your employer first. A deactivated account closes its sessions at once and receives nothing more, but it is not deleted, because the visits you made carry your name. If your employer does not answer, write to us at support@poudra.ca: we cannot decide in their place, but we can tell you what is kept about you.
