01The price list
In Settings › Price list, the owner sets a rate per m² for each surface type — driveway, parking lot, sidewalk, other surface —, a minimum per quote and the billing mode the contract will take. Below, the options: fixed named prices (sidewalk clearing, de-icer spreading, a carport) that you tick quote by quote. A removed option is deactivated, not deleted: a quote already sent cites it. The dispatcher reads the price list; only the owner changes it.
02Prepare a quote
On the customer’s page, each property carries its surface type, and “Prepare a quote” works out the price: the area comes from the property outline on the Map, the rate and the minimum from the price list, the options from your ticks. Nothing is typed. Without an outline, the button tells you so: draw the property first. Without a rate for that surface type, it sends you to the price list. The quote gets a number — SOU-12 — and keeps a copy of everything used in the calculation: the area, the rate, the minimum, each option with its price. The price list or the outline may change tomorrow; the quote says what it measured. You can add a word for the customer.
03Send
Sending goes to the main contact, in their language, with a link to the quote page; it requires the consent on the customer file, like a contract. A sent quote can no longer be edited: what the customer reads must stay what is written; prepare another one. It is valid for thirty days, by your company’s date. Two reminders go out on their own, three and seven days after sending, through the same link — never after a refusal or after the validity date.
04Accepting is signing
On their page, the customer sees the measured surface, the rate per m², the minimum if it applies, the options, the indicative taxes and the total, the billing mode and your instalments. They accept by typing their name and ticking a box: a contract is created signed, on exactly what they had on screen, and its PDF shows up right away on the same page. They can also decline, with a reason if they wish; you are told. Past the validity date, the page says the quote has expired and gives your phone number.
05Prospects
A customer who has signed nothing yet is a prospect: they have their file, their properties and their quotes, but they join no route and get no visit notice. Prospects have their own tab in Customers, and the dashboard counts them separately, with the quotes awaiting an answer. A prospect becomes a customer when a quote is accepted, or by hand, if the deal was made over the phone. The quotes list gives your acceptance rate: the accepted ones among those that got an answer.
